1. Purpose
Ujima Portal is an internal operations system for the Ujima Legacy Fund Team. It supports partner/project reactivation workflows: prospect outreach, AI-assisted messaging, meeting scheduling, and attended-meeting billing.
2. Information we process
Depending on your role and the work you perform, the portal may store and display:
- Partner and project metadata (codes, rates, health configuration)
- Prospect records and outreach history within a project workspace (non-PII identifiers; contact endpoints via vault where configured)
- Messages and AI task metadata used to run reactivation sequences
- Scheduling availability, bookings, and attendance outcomes
- Billing ledger entries for attended meetings and related costs
- Team account data needed for access control (role, MFA enrollment, login and security audit events)
3. How information is used
Portal data is used only for Ujima Legacy Fund operations, including:
- Running reactivation projects for authorized partners
- Coordinating outreach sequences and human takeover messaging
- Booking and confirming sales meetings
- Metering attended meetings and syncing billing events
- Securing Team access (passwords, MFA, invite onboarding)
Do not use portal data for personal purposes, unrelated marketing, or sharing outside authorized Team workflows.
4. Access and acceptable use
- Access is limited to invited Team members with an active role and MFA.
- You may only view or change records needed for your assigned work.
- Exporting, forwarding, or copying prospect or billing data outside approved channels requires admin authorization.
- You must keep your credentials private and report suspected account misuse promptly.
- Automated scraping, bulk extraction, or attempts to bypass access controls are prohibited.
5. Communications
When you send email or SMS through the portal, delivery providers process the message content and recipient contact details. Prefer the person’s preferred channel when known, and avoid sending sensitive personal information by SMS when email is available.
6. Security
Team accounts require a password and multi-factor authentication. Activity related to login and MFA may be logged for security. You are responsible for protecting devices you use to access the portal and for signing out on shared computers.
7. Retention
Operational records are retained as needed for membership, financial, and organizational history. Team invite tokens expire; removed Team members lose login access. Contact an administrator if a record should be corrected or restricted.
